A month at a fuel station on OCTYN
The 27 main tutorials in one film, in the order a station lives it — from sign-up to the month-end reports.
Getting started
Sign up, set up the station, add your team, and look after your account.
The daily briefing: your station's morning on one screen The first screen an owner sees: today's sales across outlets, when the next tanker's money is due, what needs attention, the notification bell, and one outlet at a time.
Getting started: sign up and set up your station Create your account and get a fuel station ready to trade: business details, your outlet, products and nozzles, opening stock, your oil company, prices, shifts and the first attendant.
Your team: staff records, logins and roles Add staff records, invite people to sign in with the right role, change or switch off someone's access, and see what a new team member sees.
Invoice numbers: continue your numbering or start a new series Set the number on every counter tax invoice and credit note: carry on from the last number you issued before OCTYN, or start a fresh series for a new financial year — in OCTYN's format or your own.
Billing: your plan, auto-debit and invoices See where your trial and plan stand, set up auto-debit through Razorpay's secure checkout, download GST invoices, and change your plan or outlets.
Keeping your account secure: password and two-factor sign-in Change your password, turn on two-factor sign-in with an authenticator app, save your backup codes, and sign in with a code.
Install Octyn and turn on alerts Put Octyn on your home screen like an app, get low-stock, licence and oil-company-balance alerts on this device, and switch between light and dark.
Adding a second outlet, and what it costs Add another station to the same Octyn account: how outlet slots are charged, the new store form, and both stores under one login.
Forgot your password? Getting back in Reset a forgotten password, sign in with an emailed link instead of a password, and change the email address you sign in with.
Cancelling your subscription What cancelling does and when: the auto-debit stops with your bank first, the station goes read-only, and your records stay open.
Find, filter and export any list Narrow any list or report with the period, search and the Advanced filter, then export exactly what is on screen as CSV, Excel or PDF.Fuel and shifts
Prices, tanker invoices and the shifts that sell the fuel.
Fuel prices: set today's price and revise it Read today's price board, revise a fuel's price from the date it takes effect, copy it to your other outlets, and see the revision history.
Fuel purchases from an oil-company invoice Upload the oil company's tax invoice, check what OCTYN read, post it to stock, watch your OMC account, and correct an invoice that was wrong.
Cash planner: when the next tanker's money is due See how long the tanks last, what the next loads cost and when each one's money must reach the oil company; plan a load, record the top-up, and try a what-if.
Tanks, dip charts and the morning dip Set up each tank with its dip chart, record the morning product and water dip with density, and read stock variation the way the oil company inspector does.
Stock adjustments: correcting book stock When the count and the books disagree: record the difference in litres with a reason, instead of overwriting the stock figure.
Run a shift: open, crew the pumps, read the meters, close Open a shift, put the crew on the pumps nozzle by nozzle, and close it with each nozzle's totalizer reading so the sales post.
When a shift isn't clean: pumps down, corrections, test fuel, shorts and reopening Handle a nozzle that is out of service, correct an opening reading, log fuel drawn for testing, follow a cash short to the attendant, and read a reopened shift.
Shift templates: dividing the trading day Set up the shifts your station runs: see how they cover 24 hours, add a night shift that runs past midnight, and rename or retime one.Cash and credit
Counting the cash, banking it, and credit customers.
Close the cash day: count, recover, bank and tie out Cash up each shift attendant by attendant, carry a short on the attendant's ledger, recover it, bank the cash, and check the day ties out.
Credit customers: account, vehicles, slips, payments and statements Open a credit account with a limit and terms, register vehicles, write credit slips at the counter, take a payment, send a statement, and see who owes what.
Customer portal: let credit customers see their own account Invite a credit customer to view their fuel slips, balance and statement online, see what they see, and withdraw or remove their access.Shop and staff
The lubricant counter, restocking it, and paying your people.
Lubricants and the counter: catalog, sales and stock-takes Set up the catalog with pack, HSN and GST, sell at the counter, see how expired stock is refused, read sales and stock, and count the shelf.
At the counter: discounts, services and voids Give a discount off MRP, bill a service, put a bill in a customer's name, and void a wrong sale so a credit note reverses it.
Restocking the counter: suggestions, orders, deliveries and payments Turn reorder suggestions into a purchase order, send it, receive the supplier's invoice against it, close what will not come, and pay the supplier.
Keying a supplier invoice by hand No PDF to upload? Type a lubricant supplier's invoice in as printed, check the total against the paper, and post it.
Staff and payroll: attendance, advances, the monthly run and payslips Mark attendance by exception, give an advance that is recovered from pay, run and finalize the month's payroll, record the payout, and open payslips.Accounts and reports
Month-end books, statutory compliance and the numbers that matter.
Month-end accounts: expenses, bank reconciliation, statements and the CA pack Record expenses and recurring costs, reconcile the bank statement, read the profit and loss, money, position, day book and tax reports, and download the CA pack.
Tally export: vouchers and ledger names for your accountant Tell OCTYN what each account is called in your Tally company, then download Tally Prime vouchers and ledger masters for any period from the CA pack.
GST returns: GSTR-1 and GSTR-3B, section by section Generate GSTR-1 and GSTR-3B for a GSTIN, read every section — fuel as non-GST, credit notes, HSN, documents — add GSTR-3B adjustments, and download the GST offline-tool Excel and the portal JSON.
Compliance: statutory registers, licences and pump stamping Read and export the stock, sales, purchase and density registers, keep every licence renewed with reminders, and record weights-and-measures stamping and calibration tests.
Reports and MIS: the cockpit, trends, the report library, comparisons and your own reports Watch the business on the owner's cockpit, follow trends, use the eight ready-made reports, compare outlets or periods, and build and save your own report.
Anomaly Watch: the patterns worth a question Read the cases the morning watch found in your books, see the proof behind each, record what you did, tune the checks, and get the morning brief on your phone.
Ask the books: plain questions, answered from your figures Ask a question about cash, shorts, credit, stock or sales from any screen, read the answer with the rows it came from, and manage your question history.
