01 Read the plan
For oil-company accounts you pay in advance.
- Go to Purchases → Cash planner. The planner works from a prepaid advance, so it needs an OMC account set to prepaid. It is the Tanker planning add-on — free in your trial, then added from Billing.
- Read the line at the top.It says how many days of cover you have and how much to top up by which day for the next tanker.
- Read the four tiles: Top-up due this week, Cash and bank today, Receivables due this week and Verdict. The verdict says whether cash and bank cover the week, or how much you are short.
- Under Loads in the next 14 days, see when each tanker is due, what it carries, and the day its money must be sent.
- Under Tank by tank, see which tank calls the next load. The first tank to reach its reorder level calls the load.
02 Order the load and send the money
Tell the plan what you have done.
- Once you have placed the order, choose Plan this load on that load, then Plan it.The plan waits for this load instead of proposing its own. When its invoice is posted, Planned loads shows whether it came on time.
- When you send the money, choose Record top-up, check the amount and the day, and choose Record. The owner or the accountant records top-ups. It is the same deposit you would record on the OMC account.
03 Try a what-if
Nothing here is saved.
- Under What if, move Sales pace up or down, or change Money due before delivery. The loads, the tiles and the chart follow at once.
- Under Load builder, change the KL of each product to plan a different tanker.Save as usual load keeps it for next time; Usual load puts it back.
- Under Price change, type an expected change in ₹ per litre. It shows what that adds to, or saves on, the next load and the week's loads.
- Choose Reset to return to the real plan.
04 Planning settings
What the plan is worked out from.
- Choose Settings. For each oil company, set Value of one load (₹), Pay days before delivery and Warn me below (₹), then Save.Leave the load value blank to use your recent invoices.
- Under Reorder level per tank, type Reorder at (L) or take the suggested level, then Save. The suggestion is a day's sales for each pay day plus the delivery day, so the load is ordered in time.
05 Share it, and trust it
For your partner, your accountant, or the bank run.
- Choose Share, WhatsApp or Print at the top of the page. The message carries the cover, the next loads and the week's verdict.
- Read Track record at the bottom. It shows how close the predicted load dates have been, and what running low has cost in the last 90 days.
Done. When a top-up falls due today or tomorrow, OCTYN also alerts you that morning. Open it in OCTYN.
